Position: On-Site Administrative Assistant

Pay: $26.00–$28.00 per hour (DOE)

Scope of Work

The On-Site Administrative Assistant is responsible for providing administrative support to site operations and supervisory staff to ensure the efficient day-to-day operation of the project.

Schedule

  • Monday–Friday
  • 10-hour shifts
  • Daily start time: 6:45 AM
  • Start Date: ASAP

Key Responsibilities

  • Support supervisors with employee timekeeping using Temp Time, including:
  • Verifying employee hours
  • Resolving timekeeping discrepancies
  • Assisting supervisors with payroll-related documentation
  • Assist employees with Jibble timekeeping, including:
  • Clock-in and clock-out questions
  • Troubleshooting basic application issues
  • Ensuring accurate time entries
  • Print, organize, distribute, and maintain project documentation.
  • Maintain accurate and organized site files, both electronic and hard copy.
  • Ensure all required paperwork is complete, accurate, and up to date.
  • Manage calendars for site leadership as needed.
  • Schedule meetings and coordinate meeting invitations and conference rooms.
  • Provide general administrative support to project management and supervisory staff.
  • Perform additional administrative duties as assigned to support daily site operations.

Required Qualifications

  • Previous administrative or office support experience, preferably in a construction, industrial, or manufacturing environment.
  • Strong organizational skills with excellent attention to detail.
  • Ability to prioritize multiple tasks in a fast-paced work environment.
  • Excellent verbal and written communication skills.
  • Professional attitude and strong customer service skills.
  • Ability to maintain confidentiality and handle sensitive information.
  • Must possess a current OSHA 10 Construction certification.

Required Microsoft Office Skills

Candidates must be proficient in Microsoft Office, including:

  • Microsoft Excel (data entry, spreadsheets, basic formulas, sorting and filtering)
  • Microsoft Word (document creation, formatting, and editing)
  • Microsoft Outlook (email, calendar management, and meeting scheduling)
  • Microsoft Teams (meetings, chat, and file sharing)
  • Microsoft PowerPoint (basic presentation creation preferred)

Experience with electronic timekeeping systems such as Temp Time and Jibble is preferred but can be trained.
